How we set up the Boardroom for a full day of board meetings, strategy sessions and offsites.
Before you arrive
The table is set the evening before: water, notepads, chargers and name cards if you send a seating plan. The display and camera are tested at 7.30 am.
If papers need printing, send them by midday the day before and they'll be at each seat.

During the day
Coffee is made to order, not left in an urn. Lunch arrives when your agenda breaks, and the breakout room next door is yours for side conversations.
Your coordinator checks in at each break, then stays out of the way.
Hybrid attendees
The conference camera and ceiling microphones cover the whole table, so remote directors see and hear everyone.
Send the meeting link the day before and the technician will connect it before you arrive.
